How to create a calendar in Word

The calendar application on mobile devices and computers is one of the ones that we use the most to write down all those that we do not want to forget and that when the established day arrives, we receive a notification. Without talking about shared calendars, the best method that all the people related to it have knowledge of the events, is through a calendar in physical format.

All of us have been to a mechanical workshop where we have seen voluptuous women on gigantic calendars. These calendars, with a DIN A3 format, are ideal due to their size to make annotations that are visible to all. However, it is increasingly difficult to find them, which forces us to create our own calendars if we are looking for a large calendar.

Although it is true that we have at our disposal a large number of applications on the internet that allow us to create calendars quickly and easily, the customization options are very limited. For this problem, there is a much simpler solution than you might expect: Microsoft Word.

Word allows us to create any type of document, from posters through WordArt to insert a calendar through the table system. Thanks to the tables, we can create calendars of any size to fit our needs.

Steps to create a calendar in Word

A folio-size calendar is ideal to place on the wall and have in view both the days of the week and the annotations that we have established. However, due to its size, we must see it closely, so if the purpose of the calendar is that it is in a place where it can be seen, the size of this should be large. The size set for all Word documents is A4.

To modify the size of the document in which we are going to create the document, we must click on the option Provision, located in the upper citation, and later in Size. If the size we are looking for is not among the default options shown, we must click on More paper sizes and set the dimensions we need manually.

If the size of the established calendar is not A4, when printing the document, we can do it in multiple sheets, setting borderless printing, and then join them. Or, we can go to a copy shop to have it printed in the size we have selected.

Create the table that will host the calendar

First of all, in order not to make modifications to the tables already created (and thus avoid errors) and create a calendar with all the months of the year, we must set a different page for month of the year.

Once we have finished creating the calendar for the first month, we press the keys Ctrl+Enter, to go directly to the next page (if we press the Enter key to create a new page, any change we make in the calendar will affect the rest of the pages). The first line (not row) should show the calendar month.

The table that will contain the calendar must be composed of 7 columns (corresponding to the days of the week) and 7 rows (6 corresponding to the maximum possible number of weeks that a month can have and one more to establish the days of the week).

To do this, we go to the option Insert tape and press Panel selecting the number of tables and columns that we want to use (7 × 7).

Next, before formatting the table, we must add the days of the week in the first row. Next, we must complete the cells with the days of the week corresponding to each month.

Now we are going to apply format to table. The first thing to do is select the entire table. Then on the tape Integrated, click on the default formats that Word makes available to us to format the table that we have created.

Before selecting the format that we like the most, we must uncheck the First column box and check Last column, so that the column corresponding to Sunday and not Monday is shown shaded. This option is on the right side of the Design ribbon.

Next, we must delete the rows that we do not need. To do this, we just have to select it and press the right button and select Delete in the contextual menu that is displayed.

Finally, we must set the height we want to use in the days of the week, to be able to make annotations, if the case arises. The simplest solution to be able to do it is to press Enter on each of the days as we are writing them. Another, faster solution is through the properties of the table.

To access the properties of the table, we select the rows where the days are displayed, click the right mouse button and select Table properties.

Next, click on the tab Rows, we mark the box Specify height, we set the desired height and in the option Row Height we select the option Exact. Finally we click on accept and this will be the result.

The cell next to the 31st is Saturday. In order not to confuse it as if it were another day on the calendar, I have colored the cell with the same color as sunday. To fill the cell with the same color as Sunday, I have placed the cursor in the cell, I clicked on the right mouse button and I clicked on the paint pot, subsequently selecting the same color that is shown in the Sunday column.

It was not until Office 2016 when Microsoft really got on with it, when it came to offering templates of all kinds. Although it is true that each of the applications that are part of Office 365 offers us a limited number of templates, these they do not meet all user needs.

The solution to this problem was to create a web page where users can search and download templates for free. This website puts at our disposal a large number of templates classified by theme and where in addition to calendar templates, we can also find templates for newsletters, lists, memos, menus, payroll, invoices, receipts, budgets, presentations ... so up to 35 categories.

The available templates are available for Word, Excel or PowerPoint and in most of them, we find macros that allow us modify template data using drop-down boxes so that we don't have to manually modify the data that is displayed.

For calendars in Word, with just a few clicks, we can have the calendar corresponding to each month prepared without having to create tables, format them, fill in the cells ...

All templates, we can customize them to our liking, as long as we do not edit the fields associated with the macros. Macros in Office documents may contain viruses, hence whenever we open a document in this format, they are disabled.

As all of these templates come from and are signed by Microsoft, are virus free, so we do not run any risk enabling them when we open them.
